To manage the courses at your institution, select Courses from the left-hand navigation menu. The Courses page lets you view and manage all of the courses in the institution’s Course Catalog. This page is divided into three tabs: Approved Courses, Pending Courses, and Draft Courses. (See Figure 1).
Use the search bar and the drop-down menus at the top of the page to help you sort and filter the course catalog for easier navigation. (See Figure 2).
APPROVED COURSES
Approved Courses are courses that have been published and approved by an administrator.
From the Approved Courses tab, you can see the title of each course, as well as the instructors, term, category, any teaching assistants or staff, the date last modified, and the number of students enrolled. Clicking on an instructor or teaching assistant/staff member’s name will open up their individual user profiles.
Use the icons on the right hand side of the screen to help you manage each course in more detail. (See Figures 3-7).
EDIT COURSE
To make changes to a published course, click on the Pencil icon located on the right hand side of the screen, next to the course you wish to edit. This will open up an editable version of the course.
NOTE: in order for the changes you make to courses to be visible, you must click Save. Once changes have been made and saved, they will be visible across the institution.
VIEW COURSE
To view a course without making changes, click on the View icon located on the right hand side of the screen, next to the course you wish to view. This will open up the course so you can view how it would appear to students.
ASSIGN CATEGORIES
To edit the pre-existing categories or assign new categories to a course, click on the Categories icon located on the right hand side of the screen, next to the course you wish to manage categories for. This will open up a window from which you can add new categories by typing them directly into the text box, or by selected them from the drop-down menu. You can remove categories by clicking the ‘X’ next to the category title.
INVITE COURSE PERSONNEL
As an administrator, you can invite instructors, students, teaching assistants, and staff members to any of the courses offered in your institution. To do so, click on the Invite icon on the right hand side of the screen, next to the course you wish to invite them to.
This will open up a window from which you can search for the person you wish to invite by First Name, Last Name, or by Email address. You can also select their role from the drop-down menu (ie. Instructor, Student, Teaching Assistant, Staff).
DELETE COURSE
To delete a course, click on the red ‘X’ icon located on the right hand side of the screen, next to the course you wish to delete. NOTE: deleting a course will remove it and all of its content from the course catalog.
PENDING COURSES
Pending Courses are courses that have been created and submitted for publishing by an instructor. Pending courses require approval by an administrator before they become visible to the institution.
You can either Accept or Decline pending courses. (See Figure 8).
Accepting a pending course will make it visible to everyone at the institution. Instructors can still continue to edit and add content to the course once it is visible. NOTE: Students will only be able to view and enroll in courses after they are approved by administrators.
Declining a pending course will keep it in draft mode, so it will not be visible in the catalog. Instructors can continue to develop the course in draft mode, but students will not be able to enroll in or view the course.
DRAFT COURSES
Draft Courses are courses that instructors are currently in the process of creating. Once the instructor submits the course for approval, it will change from draft to pending.
While a course is in draft mode, you can Edit, View, or Manage Categories for the course. Remember that Draft Courses are usually still a work in progress.
